Review and approve
Check every answer against the transcript, correct the wording, and approve the result so it reaches the customer record.
Every analysis starts as a draft. A draft is the AI's best reading of the transcript; it is not added to any customer record until someone approves it.
What a result contains
Open a result from Results, from a notification or from a customer's page. You'll see:
- Question answers for the question set you chose, grouped under its sections. This part is open by default.
- Summary, a short description of the meeting.
- Requirements the customer expressed.
- Action items that were agreed.
Summary, Requirements and Action items start collapsed; select a heading to open it.
Answer outcomes
| Outcome | Meaning |
|---|---|
| Answered | The transcript supports an answer. Read the evidence to confirm it. |
| Not discussed | The meeting didn't cover this question. That's a valid result, not an error. |
| Unclear | The topic came up, but the information was incomplete or contradictory. The evidence shows why. |
Check the evidence
Next to every answer and finding is an Evidence button showing how many transcript excerpts support it. It opens the quoted text with a little of the conversation around it, plus the speaker and time when your file has them.
A real quote can still be misread
Check conditions ("if the pilot goes well…"), negations and later corrections in the surrounding text. Treat confidence as a hint, not a guarantee.
Edit the wording
Owners and Admins only.
If an answer or finding is right but worded poorly, use Edit next to its Evidence button. You can rewrite a single answer, the summary, or a single requirement or action item, and you can remove findings that aren't useful.
Edits change wording only. They can't add new findings, change an outcome such as Not discussed, or alter the evidence. The original AI wording is always kept: edited items get a History button that shows who wrote each version and when.
Approve the result
Owners and Admins only.
The Review status card at the top shows where a result stands:
- Pending review: nobody has approved it yet. This is where every draft starts.
- Approved: a team member checked and approved it.
- Needs re-approval: it was approved, but something changed afterwards, such as an edit, a different customer or renamed speakers.
To approve, choose Approved in the status selector and confirm. To withdraw an approval, choose Pending review.
When the result is linked to a customer, approving it adds its summary, requirements, action items and answered questions to that customer's record. Approving again after changes replaces the earlier items for this meeting; moving it back to pending removes them. Approving a result with No customer adds nothing until you link a customer and approve again.
Change the customer
Owners and Admins only.
Use Change next to the customer name to pick another customer, create a new one or choose No customer. The analysis is not run again, but an approved result will need re-approval.
More actions
The ⋯ menu at the top right holds actions that apply to the whole analysis:
- Download transcript saves the original file exactly as it was uploaded. Every member can use it.
- Edit speakers (Owners and Admins) renames speaker labels, for example from "Speaker 1" to the person's name. Saving creates a corrected copy of the transcript and runs the analysis again automatically; the wording of the transcript itself can't be changed.
- Delete analysis (Owners and Admins) permanently removes the analysis, its transcript files and its history. Customers and question sets are not affected. This can't be undone, so the app asks you to confirm.
When an analysis fails
A failed result explains what went wrong and offers Retry analysis. Retrying uses the same file, question set and settings, and may count towards your AI usage, so the app asks you to confirm first. If it keeps failing, report a problem.
